Terms & Conditions
Last updated 12 October 2026
These terms apply when a business signs up to ScheduleNow to take bookings online (“you”, “the vendor”). Please read them with our Privacy Policy. By creating an account or using the service you agree to them. If you don't agree, please don't use ScheduleNow.
1. Who we are
ScheduleNow is provided by V12 Solutions Ltd, a company registered in the UK (company number 07268493) (“we”, “us”).
V12 Solutions Ltd (company number 07268493, registered in the UK)
You can contact us using the details on the ScheduleNow website.
2. The service
ScheduleNow lets you publish a booking calendar, list services, set opening hours and prices, offer discount codes, send booking emails and reminders, embed a booking widget on your own website and invite team members. Which features are available to you can differ, and we may add, change or remove features. We will try to give reasonable notice of changes that materially reduce what you can do.
ScheduleNow is a tool. We are not a party to any booking made through it. The contract for the appointment or service is between you and your customer.
3. Your account
- You must be a business or sole trader, and at least 18, to open an account. Information you give us must be accurate and kept up to date.
- Keep your password secure. You are responsible for everything done through your account, including by team members you invite. You decide what each team member can access, and you should remove people who no longer need access.
- Tell us promptly if you think your account has been accessed without permission.
4. Your customers and your bookings
- You are responsible for the services you offer, the prices and availability you set, and for honouring bookings. Check your opening hours, blocks, notice and booking-window settings carefully.
- You must follow the law that applies to you, including consumer law (for example giving customers the pre-contract information and cancellation rights they are entitled to) and data protection law. You are responsible for your own terms with your customers.
- Emails (confirmations, cancellations, reminders and messages you write) are sent on your behalf and in your name. You are responsible for their content. Customer replies go to your account email address.
- You may ask to send booking emails from your own address. You must only use an address you are entitled to use, and you must confirm it through the link we send. We may remove it if it is misused or is repeatedly rejected by email providers.
- Email delivery depends on third parties and is never guaranteed. We record whether an email was sent from our systems, but not whether it reached or was read by the recipient.
5. Acceptable use
You must not:
- use ScheduleNow for anything unlawful, fraudulent, misleading or abusive, or to send spam or unsolicited marketing;
- upload or publish content you don't have the right to use, or that is defamatory, discriminatory or infringes someone's rights;
- try to access other vendors' data, probe or test our security without our written permission, overload the service, or interfere with how it works;
- copy, resell or reverse engineer the service, or use the booking widget in a way that misrepresents who you are.
6. Fees and payments
ScheduleNow is currently free to use. If we introduce paid plans we will tell you in advance (at least 30 days) and you can close your account instead of accepting them.
At the moment ScheduleNow does not take or process payments from your customers. The payment settings area lets you store credentials for your own Stripe and PayPal accounts. If you do:
- those accounts and their terms are between you and Stripe or PayPal; we are not a party to them and are not responsible for them;
- you are responsible for the keys you save. We store secret keys encrypted, but you should use restricted keys where possible, never share them, and replace them immediately if you think they have been exposed;
- if payments are later connected to bookings, we will explain how before it is switched on for you.
7. Data protection
For the personal data of your customers that you collect through ScheduleNow, you are the controller and we act as your processor. We will:
- process it only to provide the service and on your documented instructions (these terms and your use of the features are your instructions);
- keep it confidential and secure, and make sure people who handle it are bound by confidentiality;
- use service providers (for example hosting and email delivery) under written terms that require appropriate protection, and remain responsible for them;
- help you respond to requests from individuals and to security incidents, and tell you without undue delay if we become aware of a personal data breach affecting your data;
- delete or return your data when you close your account, unless the law requires us to keep it.
Details of how we handle personal data are in our Privacy Policy. If you need a separate data processing agreement, contact us.
8. Intellectual property
We own ScheduleNow, including its software, design, name and logos. You get a personal, non-exclusive, non-transferable right to use the service while your account is open. You keep ownership of the content you add (business details, descriptions, images, logos) and give us permission to store and display it as needed to run the service for you.
9. Availability and support
We aim to keep ScheduleNow available but it is provided “as is” and we don't promise it will be uninterrupted or error-free. We may need to carry out maintenance or may be affected by events outside our control. We take reasonable steps to protect your data, but you should keep your own record of important bookings and contact details.
10. Suspension and ending
- You can stop using ScheduleNow and ask us to close your account at any time.
- We may suspend or close an account if you break these terms, if we reasonably believe the account is being misused or puts others at risk, or if the law requires. Where reasonable we will warn you first. While an account is suspended, its booking page is offline and its users cannot sign in.
- When an account closes, its booking page stops working. We will delete or anonymise your data within a reasonable period, except where we must keep it by law or to deal with a dispute.
11. Our responsibility to you
Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited.
Subject to that, and because the service is free:
- we are not liable for loss of profit, revenue, business, goodwill or anticipated savings, or for any indirect or consequential loss;
- we are not liable for loss caused by missed, double-booked or mistimed bookings, emails that are delayed, blocked or not delivered, or by settings you chose;
- our total liability to you for all claims arising from the service in any 12-month period is limited to £100.
12. Changes to these terms
We may update these terms, for example when we add features or the law changes. We will give notice by email or in the service before material changes take effect. If you keep using ScheduleNow after the change takes effect you accept the new terms; if you don't agree you can close your account.
13. General
- These terms and the Privacy Policy are the whole agreement between you and us about ScheduleNow.
- If any part is found unenforceable, the rest still applies. If we don't enforce a right straight away we haven't given it up.
- You may not transfer your rights under these terms without our written consent. We may transfer ours to a successor of the business.
- Nobody other than you and us has any right to enforce these terms (Contracts (Rights of Third Parties) Act 1999).
14. Governing law
These terms and any dispute or claim arising out of them or the service are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction, except that if you are based in Scotland or Northern Ireland you may also bring proceedings in your local courts.
